Space event

Purpose: The purpose of this event was to understand how the camera was development for space and learning how photography helped our understanding of space, but more specifically how it helped with the first moon landing. The Royal Photographic Society and NASA teamed up to put this event together which was also advertising a space exhibition event later in the year.

Content: This event included a talk from a life-long researcher into space photography, a film about the women who helped get the first man into spaced and exhibition about plastic waste. The talk involved the history of space photography and how they had to develop a special camera that could survive in space and how photography changed the way people saw space. The film was about a team of female African-American mathematicians who served a vital role in NASA during the early years of the U.S. space program which showed a different side to the space industry.

The final part of the event was an exhibition into plastics which included many images and artistic work showing how plastics affect us and the world we live in. 

 

Target audienceAlthough when I went to the event there were mainly teenagers and young adults present however this event was promontory targeted at people aged 40-50 because the era of photography and space that was covered in the talk would probably more relate to those people however they had a secondary audience of teenagers who wouldn't be familiar with this type of photography and would also have an interest in the exhibition about plastics as that is a mainstream topic amongst teenagers. 

 

Design/style: The overall event didn't have a colour scheme but each part of the event had their own style. The talk, because of the era, had a lot of vintage vibes mainly from the images that were shown during the presentation. The film also had a vintage vibe however there were a lot more vivid colours to represent that particular era. The exhibition had all the images on clean, white walls which made it feel professional. 

 

Location: The location of this event was at Paintworks in Bristol. This place offers fantastic facilities from newly built cinema's to lovely, spacious exhibition rooms. Having the talks and the film being held in the cinema made it easy for everyone to hear and see what was going on. The location itself was quite hidden from any main roads which could be an issue for people who don't live in the area. 

 

Suitability: For the most parts the event was suitable for its purpose however there were some issues such as the location being fairly hidden from any main roads or main pathways. The general layout of the event was really organised, particularly how we were sat down for quite a while during the talk and the film, then after that we got to wonder round an exhibition which certainly made the event more interesting. 

 

Legal and ethical: During the talk there were many images of the moon landing, these images should not have be copyrighted which is known as the intellectual property and copyright law. The person doing the talk would have made sure that the images were either from google or that they didn't contain any logo's or icon's at the bottom of the image. This is very similar to the copyright infringement law which is where you steal another persons idea. This law would come in handy when checking peoples art work for the exhibition to make sure no one had tried to replicate someone else's art work. 

 

Health and safety: The main talk and screening was held in an cinema and before the talk the women showed us where to exit and during both the talk and the film she left the door slightly open so in a case of an emergency we could get out quickly and safely. Another way they made sure the event was as safe as possible was by making sure the wires connecting to the laptop were tucked away or taped to the floor to prevent people from tripping over them.

Event planning write up

Venue Design/plan: The Projected Film Festival will be held at Engine Shed, Bristol. The venue is at the heart of Bristol's creative community and is the perfect place to hold a Film Festival with its newly build cinema and its clean, white walls which will create an inviting atmosphere for people attending.

 

Content: The Film Festival will includes a wide variety of films, a talk from an industry expert, food and an awards ceremony at the end; where we''ll hand out a certificate to the winners. The wide variety of films will come from the submissions, the talk is yet to be confirmed but ideally we would like someone who has good knowledge of the industry and just to talk about their own experience of the industry. The food will mainly be snacks and homemade cakes and cupcakes. 

 

Theme: The theme of the event is all about up and coming filmmakers. We are targeting the submissions at young, fresh filmmakers and giving them a platform to show off their work in front of an audience. We'll be showing a wide variety of films from all across Bristol, giving young people a chance to show how creative and talented they are, while also showing how much potential Bristol has as a City.

Logistics/procurement: Here is a screenshot of all the different roles within the team which were decided by talking amongst each other and discussing which roles we'd each want to take up.

The target audience for this event is primarily aged between 14-21 as only people of that age bracket can submit a film however we will be encouraging anyone to the event as it is a free, open event for anyone to attend to. 

​

My role within the team was Event Manager which involved delegating the different roles, writing up emails and planning the actual event. I split the team into two groups one for social media and advertisement and the other for sorting out the budget i.e food, decorations etc. Me and the other event manger wrote a few emails and made a few phone calls to various companies who might be interested in sponsoring the event or just imply getting involved. The main planning of the event consisted of organising what the event was going to in include into a timescale that we could work from.  A good contribution I made to the planning of the event was the suggestion of getting a guest speaker at the event to add a bit of variety to the event.  While calling various companies it was difficult at times to convince them to support the event as they were asking hard questions such as "What would a collaboration look like". - I then had to think quickly to come up with a response which was "a collaboration would like us two working together to get the word out about this event, though social media and other platforms."

Hospitality and catering: The catering for the event will mostly consist of popcorn and cakes. The popcorn will be given to people in either small bags or a small cup which will be there to be eaten during the screenings. The cakes will be there to eat either during the break or after the event has finished and there will be plates that people can eat them on. There will certain people on the day in charge of directing people to the event, keeping an eye on the food and keeping track of the time. There will be two host during the event one of which will be me and my job is to introduce all of the film and to make sure everything runs smoothly. In order to receive feedback we'll use a few methods such as post it notes and interviewing people, but the main method will be via a questionnaire. Two people will walk around with iPads where people can fill out a quick questionnaire to determine how they felt about the event.

Promotions/advertising: Here is some promotional material which was created by George Read. The colours are light, bright and vibrant which is to represent the age bracket we're targeting and also the colours are very summery which relates to the date of the festival. The colours have a soft tone to them which will make people feel invited to come to the event.

The set up of the event involved putting up, balloons sorting the food and drinks stand and sorting out the technical stuff. During the set up of the event I helped organise where certain things we're, while also trying to plan what I was going to say during the event as I was the host. Hosting the event was a challenging task as you had to introduce the event, run through the safety procedures and overall make sure everyone was enjoying themselves, even if there we're some difficult situations to manage. Outside of hosting I took on additional tasks such as handing out the voting slips for the audience choice award. After the event I helped tidy up by popping the balloons, clearing the tables and making sure there was no mess left.

Overall, the feedback was positive with some really lovely comments about it being a first time event and of course the food who which was really good. The feedback was really useful because if we we're do to this film festival again, we would know exactly how we could improve it for example checking all the technical stuff before hand. I don't believe it was the best way to collect feedback because it was quite hard to grab people before they left to fill out this survey, it would have been better to have a whiteboard where people could write comments about the event before they left.

Fit for purpose: The event was fit for purpose because the aim of the event was to give fresh, up and coming filmmakers a chance to a show off their work in front of an audience and we certainly did that. With the majority of the audience being young people, it was a great way to celebrate young filmmakers in the city.

Process followed: Overall, as a group I think we worked really hard in getting the word out about this event and making sure we had submissions and an audience. We could have made more posters or a variety of posters to put up on social media which would have widen the appeal of the event. The planning of the event was really strong at the start but we struggled to maintain that throughout which meant there we're still things that needed to be sorted out in the days before the event. 

​

Strengths and weaknesses: The layout and the look of the event worked really well with all the balloons and lights put up and with the food and drinks laid out really neatly. On the day we had a lot of technical difficulties during the event which meant we had to wait a long time for it to be sorted. 

​

Appeal to audiences: I defiantly think the event appealed to our target audience because based on the feedback they seemed to really enjoy the films and loved the food and that combination meant that our audience were able to enjoy themselves. Most of our target audience we're present at the event which meant we had done really well in appealing to our target audience before the event. 

​

My role during the event was to host the event. As host I had to welcome people to the event, introduce the event and what the event will entail, I had to run through the safety procedures and any nut allergies that we had in the food. Before each film was played I had to introduce it and read out a description of the film. During the break I handed out the voting slips for the audience choice award and towards the end of the event I had to announce the winners of the awards. Hosting the event was a challenge as we had many technical issues that we had to deal with and manage which wasn't easy. I had had some experience with speaking in front of people but not hosting an event and there are certain skills that I need to keep in mind for next time such as knowing what to do when things go wrong.
